What CareerCaseOS is, in 90 seconds
CareerCaseOS helps you get ready for a career conversation. It has four stages. Capture, prepare, practice, and follow through. This guide walks through each one.
- Capture. First, capture. When something goes well at work, save it as a win. One sentence is enough. Your wins are kept in Evidence. You can add detail to each one later.
- Prepare. Next, prepare. Choose the conversation you have coming up. It could be about pay, a promotion, or a review. Then write a short brief. It holds your ask, your example, and the date.
- Practice. Then, practice. The app builds a rehearsal from your brief and your saved wins. You read both sides of the conversation. You can also watch it as a short video. Practice only. The manager is a simulation, not a prediction.
- Follow through. Last, follow through. After the real conversation, record what happened. Any outcome counts, a no included. Then prepare the follow-up, so the next step is not left open.
- It stays with you. What you save is private. Only you see it. There is no employer view.
Start with one win. Tap Home in the bottom bar. Then tap the Save a win box at the top.

Your Home page
Home is the first page you see on your phone. This guide shows its three parts. The Save a win box, the quick dial, and your timeline.
- The Save a win box. The Save a win box stays at the top. Type what you did, in a sentence. Then tap Save. The win is saved privately, and it appears on your timeline.
- The quick dial. Below it is the quick dial. It holds six go-to tools, such as Brief, Rehearse and Video. The tool for your next step is tinted. Tap All tools in the middle to see every tool.
- Make the dial yours. To change the dial, tap Edit. Swap a tool in, or reset to the suggested six. Then tap Done.
- Your timeline. Under the dial is your timeline. It lists what you have done, newest first. A label says Only you see this.
- Next for you. Next for you is pinned first on the timeline. It names one next step, and it has one button. When that step is a rehearsal, the card says Practice only.
Open Home and find Next for you. Tap Home in the bottom bar. Then tap the button on the pinned card.
Start here · Your data
What stays private
Your case is private by default. This guide shows what only you see. It also shows how to take your data out, or delete it.
- Only you see it. Your wins, briefs, rehearsals, videos and outcomes are saved to your account. Only you see them. On your phone, a label says Only you see this.
- Nothing leaves unless you choose. Nothing is shared unless you choose to share it. For example, you can download your brief as a file. That file is yours to send or to keep.
- No employer view. CareerCaseOS is made for you, not for an employer. There is no employer view of your case. Your rehearsals are practice only, and they stay with you.
- Take it out, or delete it. Your data is yours to take or remove. Open Me, then Your data. You can export everything as a file. You can also delete your account and all your data. The app asks you to confirm first.
- Support resources. The app also has support resources. They appear if something you write suggests you are carrying something heavy. That entry is not kept.
Have a look at your own data controls. Tap Me in the bottom bar. Then tap Your data.
Evidence · Save a win
Save your first win
A win is something you did at work that went well. This guide shows how to save your first one.
- Find the box. Open Home. The Save a win box is at the top of the page. Tap it to start typing.
- Write what you did. Type what you did, in a sentence or two. Use your own words. Here is a made-up example. Rebuilt the weekly stock report so it takes half a day, not two.
- Save it. Tap Save. The win is saved privately. You can leave out the names of people and employers. A role is enough.
- Where it goes. Your saved wins are kept in Evidence. Each one shows a label, such as Thin, Solid or Strong. The label counts the details in the win. It is not a score of you.
- How many wins are kept. Free and Entry Kit keep up to three saved wins. Core and Pro keep every win you save.
Now save one of your own. Tap Home in the bottom bar. Then tap the Save a win box.
Evidence · Evidence
Make a win specific
A saved win is easier to use when it is specific. This guide shows the four details the tool looks for. You will see how to add each one.
- Start with what you did. Start with what you did. One plain sentence is enough to save. This one is marked Thin. To add detail, choose Strengthen this win.
- Add a number, then say when. First, add a number. How many hours, days, people or dollars? Then say when. A month or a quarter is enough.
- Say who noticed, then show the change. Next, say who noticed, or who uses it. A role is enough. Then show before and after. What was it, and what is it now?
- Watch the label change. Each detail you add gets a tick. The label moves from Thin, to Solid, to Strong. The tool only asks. It never writes a detail for you.
- Where it shows up later. A specific win is ready to use. When you build a rehearsal, your lines can quote it. A small note shows which win each line came from. A rehearsal is practice only. You decide what to say.
Open Evidence and strengthen one win. Add only what really happened.

Evidence · STAR stories
Write a STAR story
A STAR story is one of your wins, told in four short parts. The parts are Situation, Task, Action and Result. It is practice for an interview question. This guide shows how to write one.
- The four parts. The first part is Situation: where things stood. The second part is Task: what was yours to do. The third part is Action: what you did. The fourth part is Result: what changed.
- Start from a win. Open Evidence, then Stories. Choose Start from a win, and pick one. Action and Result are filled in from your own words.
- Write the rest. Now write the Situation and the Task. Keep each to one sentence. Spend most of your words on the Action. Say I, and name two or three steps.
- Read the tips. The page gives a tip for each part. It also shows how long the story takes to say. Aim for 60 to 90 seconds. The tips never rewrite your story or add facts.
- Which plans include it. STAR stories are part of Core and Pro. Core keeps two stories, and Pro keeps up to fifty.
Pick one strong win and tell it in four parts. Tap Evidence in the bottom bar. Then tap Stories.
Prepare · Prepare
Choose a conversation and write the brief
Prepare starts with one conversation. This guide shows how to choose it and write the brief. The brief holds your ask, your example, and the date.
- Choose the conversation. Tap Prepare, then choose the conversation you have coming up. There are six kinds. Promotion, pay, more responsibility, a performance review, a job interview, or a stay-or-move decision.
- Write the ask. Start the brief with the ask. Write the specific thing you want from this conversation. One or two sentences is enough.
- Add your example. Then add your example. Say what the situation was, what you did, and what changed. You can also tick the saved wins that support your ask.
- Add the date and the next step. Add the date of the conversation, and who it is with. Then write the follow-up you plan to propose. An action and a date are enough.
- Save the brief. Save the brief. It is saved to your account, and it stays private. You can come back and change it at any time.
Choose your conversation, and write the ask first. Tap Prepare in the bottom bar. Then tap the kind of conversation you have coming up.
Prepare · Who you're meeting
Who you're meeting
A rehearsal plays a manager back to you. This guide shows how to pick the manager style to practice with. There are four styles.
- Find the choice. Open Prepare, then Rehearse. Look for the four manager styles. They sit above the script.
- Open, and Busy. Open is engaged and curious. This manager asks questions and listens. Busy is rushed, and wants the short version.
- Skeptical, and Guarded. Skeptical is not convinced yet, and pushes back. Guarded gives short answers, and says it is not really their call.
- Which plans include which styles. The styles you can pick depend on your plan. Free has Open. Core has Open and Busy. Entry Kit and Pro have all four. A style outside your plan is marked Locked, with the plan it is part of.
- Pick one. Pick the style closest to the person you expect. Your rehearsal is built with that style. Practice only. The manager is a simulation, not a prediction of what anyone will say.
Pick a style before you build your rehearsal. Tap Prepare in the bottom bar. Then tap Rehearse.
Prepare · Job fit
Check a job description against your evidence
Job fit reads a job description against your own evidence. This guide shows how it works. Job fit is part of the Pro plan.
- Add the job description. Open Job fit. Paste the job description, or add it as a file. Then tap Read the job description.
- What the job asks for. The tool lists what the job asks for, in the employer's own words. It compares each item with your role, your wins and your skills.
- Match, Transferable, Gap. Each item gets one of three tags. Match means your evidence covers it. Transferable means a skill of yours may carry over. Gap means nothing you have saved covers it yet.
- Confirm a skill, save a win. You can confirm a transferable skill with one tap. For a gap, the tool offers a link to save a win that shows it.
- Story prep for the top items. For the top items, the tool lines up STAR story prep from your own wins. It only uses what you pasted and what you saved. An interview rehearsal then asks about this job. Practice only.
Try it with one job description. Tap Prepare in the bottom bar. Then tap Job fit.
Open Job fit (Check a job description against your evidence)
Practice · Rehearse
Build your rehearsal
A rehearsal is a written practice run of your conversation. This guide shows what it needs and what it is made of. Practice only.
- Check the list. Open Prepare, then Rehearse. A checklist shows what the rehearsal needs. Your ask. Two saved wins, or an example in your brief. One specific win. And a manager style.
- Build it. The build button stays gray until every item is ticked. Each open item has a link to fix it. When the list is done, tap Build my rehearsal.
- What the script is made of. The script has two sides. Your lines come from your brief and your saved wins. A small note shows which win a line came from. The manager's lines are a simulation.
- Missing-evidence cards. Sometimes a line needs evidence you have not saved. The script does not make one up. It leaves a card marked Missing evidence.
- How many you can build. Each build uses one rehearsal from your plan. Free includes one, and Entry Kit includes three. Core includes eight a month, and Pro thirty. Reading a rehearsal you have built does not use one.
Check your list, then build. Tap Prepare in the bottom bar. Then tap Rehearse.
Practice · Practice video
Watch your practice video
Your rehearsal can play as a short video. This guide shows its three parts, and what to watch for. Practice only.
- Make the video. Open your rehearsal and tap Make the video. Making a video uses one from your plan. Watching it again does not.
- Part one: the intro. Part one is a short intro. A narrator says what the video is built from. It also names three things to watch for.
- Part two: the conversation. Part two is the conversation. Two drawn characters say both sides. Your lines come from your case. The manager is a simulation, not a prediction. Watch for the technique name, the pause after your ask, and the evidence tag.
- Part three: practice tips. Part three is practice tips. They suggest how to practice this conversation, such as saying it out loud.
- Good to know. Captions are on throughout. A line with missing evidence is shown, but it is not voiced. An interview video has the conversation only.
Watch yours once, then say your lines out loud. Tap Prepare in the bottom bar. Then open your rehearsal and tap the video.
Practice · Rehearse
Fill a gap and rebuild
A rehearsal can leave a line open when evidence is missing. This guide shows how to fill that gap and rebuild. Practice only.
- Find the card. Find the card marked Missing evidence in your script. It says what kind of example the line needs. The script never makes one up.
- Save a win that fits. Think of something that really happened. Save it as a win, in a sentence or two. Add only what is true.
- Make it specific. Make the win specific if you can. Add a number, or when it happened. Add who noticed, or the before and after.
- Rebuild. Go back to your rehearsal. A note says your evidence has changed. Tap Rebuild with my latest evidence.
- After the rebuild. The script is built again from your latest wins. If the new win fits the open line, the line can quote it. A rebuild uses one rehearsal from your plan. An earlier video shows the old version until you make a new one.
Look for a Missing evidence card in your rehearsal. Tap Prepare in the bottom bar. Then tap Rehearse.
Follow through · Outcome
Record what happened
After the real conversation, write down what happened. This guide shows how. Any outcome counts, a no included.
- Find the form. Open Prepare, and open the conversation you had. Scroll to the part headed How did it go?
- Choose one answer. Choose one of four answers. Yes. Not yet, but there is a clear next step. No, not this time. Or it did not happen.
- What did you agree?. Then add what they said, if you like. Under it is the box What did you agree? Write the next step you both said yes to, in a sentence. A follow-up starts from it.
- Two more notes. You can note one thing you would do differently. If something changed, you can record what it was, and an amount. Only what you enter is shown. Nothing is estimated.
- Save it. Save the outcome. It stays private. For a conversation with your manager, the app then offers to prepare the follow-up.
Record yours soon after the conversation. Tap Prepare in the bottom bar. Then scroll to How did it go?
Follow through · Follow-up
Prepare the follow-up
Most conversations lead to another one. This guide shows how to prepare the follow-up. It starts from the outcome you recorded.
- Open the follow-up. Open Prepare and tap the follow-up card. It is offered for a manager conversation, once its outcome is recorded. The page starts with a recap of where you left it.
- What happened?. First, pick what happened. There are seven choices in all. They said yes. Something came back. Nothing has moved. A new condition. Decided above them. No for now. Or it did not happen.
- Only the ones that fit. The page shows the choices that fit your recorded outcome. Each choice has one line on what the follow-up is for.
- Two short notes. Then add two short notes. What you sent, or said you would do. And what has happened since. If nothing has changed, choose Nothing to add.
- Build the follow-up rehearsal. Add the date you would like, and pick who you are meeting. Then build the follow-up rehearsal. It is built from your earlier brief and what has happened since. It uses one rehearsal from your plan. Practice only.
Start with what happened. Tap Prepare in the bottom bar. Then tap the Follow-up step.
